Believe me, it's quite hard to contact my opponents if opponent's team leader don't respond while he is online 
If I were you, Sucer, I would just set the date and time for each game without asking both teams (but of course not 1.00 AM Tuesday for example;p). Just like it was in JJ2WC (there was also option to delay a few games if some players couldn't play). Weekend is the best time to play because you have more free time/don't have to go to school/work etc.
However, let's see if this tourney will work
